Job Summary:
This position serves at the pleasure of the Mayor and fills a strong customer service role in the Mayor’s Office providing varied and independent work in support of senior staff in the Mayor’s Office. The position serves as the central point of contact for downtown Meridian businesses and economic development activities related to downtown Meridian, researches and compiles data from a variety of sources, assists with logistics involved in the citywide administrative management, schedules meetings and performs other general office duties. The position includes the important task of handling sensitive and delicate information and situations with a high degree of confidentiality, firmness and cordiality. The work schedule could include a variety of after-hour work. Work is performed under the general guidance of the Mayor’s Chief of Staff with regular interaction with the Mayor and the Economic Development Administrator.

Essential Duties & Responsibilities:
Organizes meetings and events and serves as the central point of contact for the collection, response, and follow-up to all scheduling requests for the Mayor;

Prepares the Mayor’s daily calendar;

Serves as the central point of contact for downtown Meridian businesses and economic development activities related to downtown Meridian, including attending meetings and leading projects or initiatives;

Serves as the Mayor’s alternate at business ribbon cuttings and coordinates all city related components to these activities;

Provides supervision of Youth Work Life Skills interns;

Handles sensitive and delicate public relations situations with a high degree of confidentiality and in a courteous and timely manner;

Makes travel arrangements for the Mayor, Mayor’s Office staff, the Mayor’s Office of Economic Development, and in some cases, for the City Council;

Works with senior staff to provide executive level administrative assistance and assist with problem-solving, process improvement and open lines of communication;

Organizes and coordinates schedules and affiliated documents related to the executive management team and other meetings;

Organizes and coordinates special projects at the Mayor’s request;

Researches and compiles data from a variety of sources and prepares award applications and reports;

Schedules and coordinates arrangements for meetings and conferences;

Establishes and maintains an effective working relationship and open line of communication with City Council, City Employees, Government officials, business community, media, union representatives and the general public;

Serves as the primary backup for the front desk of the Mayor’s Office.

Job Specifications:
A college education with an Associate’s or Bachelor’s degree is preferred:

Minimum of 5 years of experience providing administrative support at the executive level using strong public relations skills and dealing with sensitive issues or an equivalent combination of education and/or experience.; or any equivalent combination of experience and training which provides the knowledge, skill and abilities to perform the work required;

Must have knowledge of the principles and practices of executive level administrative support, research methods and techniques, office practices and procedures, practices of record keeping and office software including word processing, database, and spreadsheets.

Ability to perform a variety of clerical and administrative work requiring exercise of independent judgment and excellent organizational skills;

Ability to learn new computer programs and use of communication systems;

Ability to establish effective working relationships;

Ability to deal effectively and calmly with the public;

Ability to work with several interruptions;

Ability to Communicate orally in the English language with customers, clients, and the public in a face-to-face, one-on-one setting or by telephone;

Integrity in the performance of assigned tasks.

Knowledge, Skills & Abilities:
Assembles and organize information for meetings, data for the budget, reports and presentations;

Develops and maintains databases and spreadsheets;

Produces written documents in the English language with clearly organized thoughts using proper sentence construction, spelling, punctuation, and grammar;

Proof reads office correspondence as needed;

Works cooperatively with others;

Ability to plan meetings and events and coordinate travel;

Ability to understand the organization and operation of the City and of outside agencies;

Ability to work cooperatively with other departments, City officials, and outside agencies;

Ability to compose and effectively proofread correspondence and other documents;

Must be able to work in a flexible and team environment;

Performs other duties as assigned or needed.


Work Environment and Physical Demands:
The Executive Assistant to the Mayor normally works in a safe, climate-controlled environment. Tasks may occasionally entail muscular strain, including walking, standing, stooping, sitting, reaching and lifting. Talking, hearing and seeing are essential to performing job requirements. Common eye, hand and finger dexterity is required for most essential functions.

Travel Requirements:
Local travel is occasionally required.
