Job Summary:
Under the direction of the Recreation Coordinator – Special Events, the Volunteer Programs Coordinator will assist in the coordination and implementation of events produced by the Parks & Recreation Department which may include event planning, event marketing, and onsite event oversight. This position is also responsible for daily coordination of all volunteer services and related activities within the Meridian Parks and Recreation Department and areas within City Hall. The coordinator will be responsible for administering the recruiting, retaining, review and recognition of volunteers, department programs and arrange training and volunteer schedules. The Coordinator must be able to work weekends, evenings, and a flexible full-time schedule. This position works under general supervision and work involves following city policy and direction from the Recreation Coordinator-Special Events.


Essential Duties & Responsibilities:
•Maintains and oversees ongoing volunteer programs including the Park Ambassador program, City Hall volunteer desk, City Hall educational tours, and other City Hall areas;
•Works with the Recreation Coordinator – Special Events to schedule volunteers for community events throughout the year;
•Works with the Parks Division to identify volunteer projects in the parks and finds local groups to complete them;
•Accepts and organizes applications for Eagle Scout Merit Award Projects and works with the Park Division to assign projects to candidates;
•Maintains and oversees the files on all active and non-active volunteers as well as tracking daily, weekly, monthly, and yearly volunteer hours;
•Completes background checks for volunteers when appropriate;
•Continuously engages in volunteer recruiting activities such as speaking at local organization meetings or posting volunteer opportunities on volunteer matching sites;
•Updates the volunteer page on the City of Meridian’s website as needed to keep volunteer information as current and relevant as possible;
•Creates volunteer training materials and conducts training sessions to prepare volunteers for their positions;
•Facilitates recognition of volunteers including an annual ceremony and individual awards;
•Communicates with other department members to help facilitate and plan volunteer program needs for activities and events as requested;
•Assist in the event planning for annual events including selecting entertainment, scheduling vendors, and creating production timelines as necessary.
•Create and manages volunteer recognition programs and recognition events.
•Prepares and distributes event and volunteer recruitment promotional materials. Including website updates, designing social media images, flyers, and posting signs and banners as necessary.
•Manage onsite logistics of department events to insure successful execution of event production that includes engagement with vendors, entertainers, sponsors, subcontractors, city staff, and volunteers.
•Maintains volunteer uniforms;
•Performs other duties as assigned;
•Reports directly to the Recreation Coordinator – Special Events on a regular basis with all matters concerning the volunteer program.
•Assist as a back-up receptionist and telephone console operator, receiving and transferring of incoming calls, taking telephone registration information, and provides general department information as required at City Hall, Meridian Homecourt, or Meridian Pool;

•Knowledge/understanding of the recruitment & selection of volunteers which provides the knowledge, skills and abilities necessary to perform the work;
•Knowledge/understanding of working with various age demographics from youth - senior


Knowledge, Skills, & Abilities:
•Must have computer skills and be proficient in Microsoft Word, Excel, Outlook, Canva and other computer software as needed;
•Must have excellent verbal and written communication skills;
•Must be able to consistently demonstrate the ability to work as a team player, communicate in a professional and diplomatic manner, collaborate with others, adapt to change, show respect to co-workers, volunteers and customers and demonstrate integrity in the performance of job responsibilities;

Work Environment & Physical Demands:
•While performing the duties of this position, work is performed in and outside the office. The noise level in the office is at a moderate level, while that outside is sometimes loud. The environment indoors is subject to inside environmental temperature change conditions, while the outside is subject to varying out-of-doors weather conditions:
•Constantly require sitting at a desk for long periods of time, up to four hours and ability to lift up to 40 lbs.;
•Constantly requires clarity of speech and hearing, which permits the employee to communicate effectively with the public and other departmental members;
•Constantly requires clear vision to read printed materials and computer screen to accomplish work;
•Constantly requires repetitive movement of the wrists, hands, and/or fingers;
•Constantly requires personal mobility and physical reflexes, which permit the employee to function in a general office environment to accomplish tasks;
•Occasionally requires performance of duties away from the office that may require transport, carrying, setting up, taking down of: tables, information panels, educational / promotional materials and brochures;
•Requires frequent driving, personal mobility, and physical reflexes which allow the employees to operate a motor vehicle.


Travel Requirements:
•Local travel is required.
